Vyapaar Manthan Highlights

1.Duration: Each Vyapaar Manthan session will last for 45 minutes.

2.Group Formation: Members will be organized into groups of 5-8, based on Chapter size.

3.Leadership: Each group will have a designated captain, known as Vyapaar Saarthi, chosen for their activity and energy.

4.Focus Areas: Vyapaar Saarthi and their group members will collaborate to understand specific needs and connections sought by members.

5.Objective: EThe primary goal of Vyapaar Manthan is to identify the right referrals or connections that lead to business closures.

6.Timing:Held after breakfast in fortnightly meetings at the venue. During the first fortnightly meeting, the schedule can be arranged to allow members ample time to acquaint themselves with one another, fostering stronger relationships throughout the month and facilitating increased business opportunities within the group.

7.Reporting: Saarthi will present a detailed report with specific asks/gives to the Chapter Secretary.

8.Pledge: Members commit to providing at least one business or referral to every member in their group.

9.Communication: Saarthi's create WhatsApp groups for their teams, with the Chapter Secretary added to facilitate communication.

10.Briefing: Chapter Secretary will inform Saarthi's about the objectives of both official and unofficial Vyapaar Manthan meetings.

11.Recognition: Monthly acknowledgment for the Best Performing Member and Saarthi to boost motivation.

12.Reshuffling:Groups will be reorganized monthly, fostering better interaction and understanding of colleagues' specific needs.

13.Performance Tracking:Vyapaari members are responsible for uploading monthly performance data, including exchanged references and closed business, on the mobile app.

Chapter Meeting Code of Conduct

Activity Upload Requirement

Vyapaaris whose activities are not uploaded in the Vyapaar Zone app will not be allowed to speak in Chapter meetings.

Mobile Phone Usage

Vyapaaris should refrain from browsing or using their mobile phones during meetings.

Food and Beverage Policy

No food and beverages are allowed during the meeting.

Prohibited Substances

Chewing gutka and pan masala are strictly prohibited during meeting hours.

Respectful Communication

No one should interrupt, contradict, or engage in cross-talk while someone is speaking.

Meeting Room Etiquette

Vyapaaris are not allowed to leave the meeting room until the meeting is officially announced as closed by the President.

Business Category Restriction

Registration of multiple business categories by any member is strictly prohibited.

Chapter Affiliation Limitation

Vyapaaris are not permitted to join multiple chapters, whether they are of similar or different business categories.

Attire

Vyapaaris will not be allowed to attend the meeting if they are not in the smart business formal wear.

Vyapaari Meeting Etiquette Guidelines

✓ Business Profile Update

Vyapaaris should ensure to regularly update their business profiles in the Vyapaar Zone app.

✓ Meeting Confirmation

Vyapaaris must confirm their participation in the meeting through the Vyapaar Zone app.

✓ Dress Code

The dress code for Vyapaaris is Smart Business Formals.

✓ Badge and Lapel Pin

Vyapaaris should wear their Badge on the Right side (mandatory) and Lapel Pin on the Left side (mandatory).

✓ Meeting Schedule

Vyapaaris are expected to reach the venue by 7:30 AM for open networking over tea/coffee.

The meeting will start promptly at 8 AM and conclude at 9:30 AM, followed by breakfast.

✓ Attendance Duration

Vyapaaris should stay for the entire published meeting time, which is 90 minutes.

✓ Meeting Closure

The official announcement of the closure of the meeting will be done by the President.

✓ Phone Etiquette

Vyapaaris are requested to keep their phones on silent mode during meetings.

✓ Business Category Representation

Vyapaaris may represent only one specific business category registered with the Vyapaar Zone Chapter.

✓ Language Preference

Vyapaaris are welcome to give their introductions in the language they are most comfortable with.

✓ Speaking Permissions

Vyapaaris who wish to speak during the meeting need to seek permission from the Head Table (HT).

✓ Breakfast Timing

Breakfast will commence after the closure of the meeting.

✓ Title Usage

Vyapaar Zone addresses members as 'Vyapaari' during all meetings and events, reflecting our collective identity and commitment to fostering connections and business growth.

✓ Welcoming Guests

When an Athithi introduces themselves, the inviting Vyapaaris should stand up, indicating a warm welcome to the guest.

Membership Renewal

1. Annual Renewal Requirement

All members are obligated to renew their Vyapaar Zone membership subscription annually.

2. Membership Term Commencement

The membership term initiates on the day when a new member is officially inducted into the Chapter.

3. Renewal Approval Process

Membership renewal is contingent upon the member's contribution to Vyapaar Zone and is subject to approval from the Head Table and Zonal Team.

4. Renewal Fees Deadline

Members must submit their renewal fees at least one month prior to the expiry of their current membership, pending approval from the Head Table and Zonal Team.

5. Non-Payment Consequences

Failure to fully pay the membership fees may lead to Vyapaar Zone terminating the membership without prior notice, with no refunds provided.

Members will provide updates on their business activities from the past fortnight.

Time Allotment

Members will have 30 seconds each to share their activities, including Vyapaar Date, Business Received, Business Given, Referrals Given, Testimonial Given, Athithi’s Invited, participation in Showcase Your Vyapaar, and any other Vyapaar Zone-related activities.

Testimonials Reading

If time allows, testimonials may be read out, with permission from the Head Table.

Vyapaar Date

Vyapaar Zone underscores the significance of cultivating strong relationships among its members to enhance business opportunities. To facilitate this, Vyapaar Zone advocates for the concept of a "Vyapaar Date." This involves a meeting between members, which can occur at the office, showroom, or any mutually agreed-upon venue.

Preparation for a Vyapaar Date is crucial, and members are advised to create a comprehensive list of the types of contacts they are seeking and those they can provide to the other member. This thorough preparation sets the stage for more fruitful discussions and the potential generation of valuable referrals.

Respecting each other's time is paramount, and members are encouraged to prioritize punctuality to ensure everyone has an equal opportunity to express themselves, fostering positive interactions and rapport-building.

Post Vyapaar Date, members should make notes about their discussions and any contacts exchanged. Regular engagement in Vyapaar Dates with all chapter members is recommended for maximum benefit. During these meetings, focusing on business-related discussions rather than general topics like politics, movies, or sports is advised. Understanding each other's businesses and interests is fundamental to the success of Vyapaar Dates.

Know Your Vyapaari

1. Announcement by Secretary

The Chapter Secretary will make an announcement of the upcoming "Know Your Vyapaari" feature in the official WhatsApp Group.

2. Member Opportunity

Members will have the chance to share 2 photos or videos during their designated week.

They can use this opportunity to explain their products and services, highlight their business Unique Selling Proposition (USP), showcase their clientele and achievements, and mention specific asks and gives.

3. Weekly Limit

A maximum of 2 members will be selected each week for this opportunity.

4. Member Engagement

Remaining members are encouraged to engage by liking, sharing, and commenting on the showcased content across social media platforms such as Facebook, Instagram, and Google.

5. PRO Responsibilities

The Public Relations Officer (PRO) will share the photos/videos of the featured members on the Chapter's Social Media Pages, Stories, and Reels, amplifying their visibility and promoting their businesses.

About Athithi

1. Invitation to Chapter Meetings

Members have the option to invite Athithis to visit fortnightly Chapter meetings, providing them an opportunity to understand the meeting process and flow.

2. Attendance Limitation

Athithis are restricted to attending chapter meetings only once in the last three months.

They may visit another chapter as an Athithi only after a gap of 3 months.

3. Introduction Procedure

Athithis are allowed to introduce themselves after the Members Introduction Round.

They need to share their Name, Company Name, Business Category, and the name of the member who invited them.

4. Online Invitation Form

Athithis are required to fill out the online invitation form (mandatory) before attending the chapter meeting. .

5. Pre-Visit Contact

It is highly recommended for Athithis to contact the referrer beforehand to confirm the meeting time, location, and ensure that the chapter is open to Athithis on the planned visit day.

6. App Registration Mandatory

No Athithi will be allowed in the meeting if no registration is found in the Vyapaar Zone app. Registration serves as a mandatory prerequisite for attendance.

Vyapaar Presenter

1.Opportunity for Presentation

Members have the opportunity to present their business during the fortnightly meetings in front of Vyapaaris and Athithis.

2.Presentation Privilege

The presenter is allotted 7 minutes during the meeting:

✓ 5 minutes for Audio-Visual Presentation.

✓ 1 minute for Q&A.

✓ 1 minute for specific Give & Ask.

3.Submission Requirement

Members must submit their presentation to the Head Table at least 48 hours before the Fortnightly Meeting; failure to do so will result in disqualification from presenting.

4.Athithi Exclusion

Athithis are not eligible to be presenters.

5.Frequency Limitation

Members who completed a Vyapaar Presentation in the last 6 months are not eligible for a presentation slot unless there are pending requisitions from other Vyapaaris.

6.Next Presenter Announcement

The announcement of the next presenter will be made in the previous meeting.

7.Selection Process

The official announcement of the closure of the meeting will be done by the President.

8.Fallback Assignment

If no presentation is prepared or received by the Head Table 48 hours prior to the fortnightly meeting, the Head Table has the authority to assign another member as the presenter.
